Agreement to Terms

By booking our services or using our website, you agree to these Terms of Service. Please read them carefully before making a reservation.

Booking & Deposits

A 50% non-refundable deposit is required to secure your event date. The remaining balance is due 7 days before the event. We accept major credit cards, e-transfer, and cheque.

Cancellation Policy

  • 60+ days before event: Full refund of deposit minus a $150 administrative fee.
  • 30-59 days before event: 50% of deposit refunded.
  • Less than 30 days: No refund of deposit.
  • Rescheduling: Free rescheduling to a new date within 12 months if requested 30+ days in advance.

Event Requirements

To deliver our services, we require:

  • A minimum 10×10 ft clear space (12×12 ft for 360 booths)
  • Access to a standard 110V power outlet within 25 ft
  • 90-minute access before event start for setup
  • A flat, level surface for equipment placement
  • Indoor events or covered outdoor areas (equipment is not weather-rated)

Liability & Insurance

Vibe Activations carries commercial general liability insurance. We are not responsible for injuries caused by guest misuse of equipment or for damage to venue property caused by guests. Venues requiring additional insured status should notify us at least 14 days before the event.

Photo & Video Rights

Vibe Activations retains the right to use photos and videos captured during events for portfolio, marketing, and social media purposes unless otherwise specified in writing in your contract. Guests receive a non-exclusive license to use their own images for personal purposes.

Force Majeure

Neither party shall be liable for failure to perform due to events beyond reasonable control, including but not limited to natural disasters, pandemics, government orders, or severe weather. In such cases, we will work with you to reschedule at no additional cost.

Changes to Terms

We may update these terms from time to time. Material changes will be communicated to active clients via email.
